Privacy policy

The MiniMasters app is for MiniMasters Chess coaches and managers. It is not for students or parents, and it shows no ads.
What the app stores
- Your account: your username and password (stored encrypted), or your email address if you sign in with an emailed code.
- Your coach record: your name, role, school schedule and pay rate, added by a manager.
- Your profile: the phone number, email and note you choose to add. Other coaches can see these on the Team tab. You can hide your phone number.
- Timesheets you send to a manager, and your retention numbers (how many of your students sign up again).
- Class reminders: in the phone app, reminders are scheduled on your phone. On the website, your browser's notification address is stored so we can send them.
Student information
Managers can see class rosters (student names, grades and parent contact details) that come from our enrollment system. Coaches see student counts, and at the first class of each session they see the names of the students in their own class so they can take attendance. Head coaches also receive their school's roster (student names, grades, parent names and parent phone numbers) by email and in the app at 6:15 AM on the first day of each session, and the school's administrator receives the same roster by email. Assistant coaches never see parent contact details. Rosters are shown live from our enrollment system; the app only saves first-class attendance (each student's name and whether they came).
Text messages
Coaches who turn on Text me reminders in My profile get text messages about their classes (90 minutes before each class), Timesheet Tuesday and school holidays. Parents who sign up at portal.minimasterschess.com/sms get texts about chess club sign-ups and new sessions. Message frequency varies; message and data rates may apply. Reply STOP to any text to stop getting them, or HELP for help. Phone numbers and text consent are never sold or shared with anyone for their own marketing. Text message terms.
Who we share it with
We don't sell your information or use it for advertising. It is stored with the services that run the app: Supabase (database and sign-in), Vercel (hosting), HubSpot (enrollment), Microsoft 365 (email) and Twilio (text messages). They only process it to run the app for us.
Deleting your account
In the app, coaches go to My profile → Delete my account, and managers use Delete account at the top of the manager portal. This deletes your login and the contact details you added. Timesheets are kept for payroll records. You can also email us to ask for deletion.
